Notes for Registration

Time limit for online registration is 15 minutes. The registration will be cancelled if it cannot be finished within the time limit. Please participants to prepare your personal information and credit card for application before getting into the registration platform.


1.   Personal information (or team captain and your team members): full name in English, full name in Chinese (if applicable), date of birth (year/month/day), identity card or passport number, mobile number (to receive event message), address, email address, emergency contact person and her contact number.

2.   Age requirement: participants must be 12 – 75 years old (born between 12th November 1942 and 11th November 2006)

3.   Please choose a category: 1) 5KM individual; 2) 5KM Team of 10; 3) 10KM Individual; 4) 10KM Team of 10.

4.   Runners to join the 10km, please choose the start time 1) Challenge Run: 8am (Time limit: 90mins) with award and ranking; 2) Elegant Run: 10am (Time limit: 120 mins) without award and ranking.

5.   Decide whether to take memento runner vest. If so, pick a size:


*The actual product and size chart may have reasonable variations. The organizer will not provide exchange services under this issue.​

6.   Credit card information for paying the registration fee.

7.   Make further contribution by donating to the two beneficiaries, Youth.ROC program of RunOurCity Foundation Ltd and YANA (You Are Not Alone) of Heart-to-Heart Life Education Foundation Limited at own will.

8.   Purchase Ladies Run merchandises at own will.

9.   Participants can revise the size of free runner vest on or before 31 August, 2018.

10. Personal data change arrangements (Only change of name, date of birth, HKID, phone number, mailing address, emergency contact, emergency contact number are allowed. NOT allow transferal of running quota, change of running category and start time, donation amount and schedule of ladies training courses.)

Period 1: on or before 14 September, 2018: Free

Period 2: 15 September to 7 October, 2018: Administration charge of each change request form: HK$100

Please fill in "Change of Personal Data" form. Each participant has to fill in and submit one form.

Please fill in "Change of Team Name or Member" form. Each participant has to fill in and submit one form. (Both Team of 10 for 5KM or 10KM are NOT allowed to change captain but change member only who must fulfill age requirement.)

* Please fill in the form and make a cheque (payable to ROC Limited) and send by post to Unit K, 4/F, On Shing Industrial Building, 16 Wo Liu Hang Road, Fo Tan, New Territories, Hong Kong. Only cheque payment is accepted.

Rules & Regulations

1.1   Participants must study the event rules and regulations carefully. Upon submission of your application of entry, a participant is deemed to have accepted all Terms and Conditions of the Event, the Official Rules as stipulated and also to those that may be later introduced by the Organizer/Event Producer.

1.2   Participants understand and agree that participation in the Event is voluntary and at the own risk of participants. Each participant agrees to absolve the Organizer, Event Producer and any sponsor and/or supporting organizations from any and all liabilities arising from bodily injuries, accidents, death or any other losses during or caused by travelling to and from the event venue during in the event for any reason whatsoever.

1.3   Each participant shall be physically fit and have the ability to participate in the Event. The Organizer/Event Producer reserves the right to disallow/disqualify any person who is known or suspected by the Organizer/Event Producer to be physically unfit to participate in the Event and such person shall accept such decision of the Organizer/Event Producer accordingly.

1.4   All information provided by a participant in the registration form must be true and accurate.  For all information submitted by participants during application (include name, date of birth, gender, address and other required information), the organiser will consider and judge the accuracy based on the documents issued by HKSAR and other official department from other countries (Include Hong Kong Identity Card or passport). Organiser has the right to request participant to provide relevant documents for personal information verification and cancel participants' qualification to join the event because of inaccurate information with no refund and compensation. 

1.5   All entries must be submitted no later than the registration deadline. Entry is available on a first-come, first-served basis.

1.6   The Organizer/Event Producer reserves the right to close the registration any time, whether before or after the registration deadline specified, without prior notification.

1.7   Participants can revise the size of free runner vest on or before 31 August, 2018.

Participants can revise personal information on registration system by themselves on or before 14 September, 2018.  Only change of Chinese name, date of birth, HKID, phone number, mailing address, emergency contact, emergency contact number and team members are allowed.  

After 14 September,2018, an administration fee HKD$100 will be charged for each update. Participants have to fill in the form "Change of Personal Data Form (individual)"/ "Change of Team Name or Member Form (Team)" and submit to the provided address with a cheque for the payment. Only change of Chinese name, date of birth, HKID, phone number, mailing address, emergency contact, emergency contact number and team members are allowed to be updated.  And no change will be allowed after 7 October 2018.

1.8   Participants age 18 or below must be obtained the consent by a parent/guardian.

1.9   All participants should register according to the age requirement of each category respectively (if applicable). Offenders will be disqualified and requested to leave the running course/ event venue. 

1.10 No pets or any form of wheel-run objects of transport, including but not limited to bicycles, skates, push carts, shoes with built-in rollers are allowed, except those authorized by the Organizer/Event Producer. 

1.11 Participants shall indemnify and/or reimburse the Organizer/Event Producer in respect of any additional expenses or costs incurred by the Organizer/Event Producer arising from or in connection with any fault or action or behaviour of such Participants during participation in the Event. 

1.12 Participants must retire and leave the running course/event venue immediately if requested by any event official, medical staff, event director or security staff. 

1.13 Event Winners will be required to present their identification including HK identity card, passport or Registration Card for People with Disabilities for verification.

1.14 Public liability insurance is covered by the Organizer. This does not include personal accident insurance. It is recommended that all participants to purchase your own personal accident insurance and other relevant insurance according to your needs. 

1.15 The Organizer/Event Producer reserves the right to amend the program of the rules and regulations. Should there be disputes, the Organizer/Event Producer reserves the right to the final decision. 

Event Rules & Regulations

2.1   The Organizer/Event Producer reserves the right to divide the participants according to the best personal results they declared into various groups. The groups will start at different times to avoid unnecessary congestions.

2.2   Participants should place their bib visibly on the front of their top clothing.

2.3   Personalized bib name is assigned by the participant. Participants will be responsible any potential liability associated. 

2.4   Participants shall pay the Organizer/ Event Producer HK$200 administration fee for re-issuing a new bib under any circumstances.

2.5   Participants should enter the waiting zone on time, or otherwise be disqualified from the event competitions. 

2.6   Participants must not harass or impede other participants from conducting activities / competitions. Offenders will be disqualified and requested to leave the event venue. 

2.7   Cheating in the game is also not allowed. Offenders will be disqualified once found.

2.8   If there are less than 3 participants or 3 teams in any category, the award will be cancelled.

2.9   Official Times will be used for determining the prizes and positions.

2.10 Should there be disputes of the prizes and positions, Organizer/Event Producer reserve the right of the final decision.

2.11 E-certificate of Achievement will be issued to all qualified participants with an Official Time in all running events and categories. Participants who do not start the run according to the designated start time and assigned registered running category and participants who do not complete the running event, shall not be entitled to any awards and certificates.

2.12 If first aid assistance is needed, please inform the event staff or call the emergency contact number printed on your bib.


Use of Personal Data

3.1   The Organizer/Event Producer and its agents shall have the absolute discretion to use any photograph, video or any other record of the Event for any lawful purposes including advertising and promotion of the event.

3.2   ROC Limited as Organizer/Event Producer; and its authorized service providers (if any) will use the information that you supplied for the following

a) Announcement of results
b) Processing administrative work related to registration, including but not limited to endorsement, receipt issuance, payment notice issuance, donation record and relevant event notices, etc. 
c) Identifying the user or participant;
d) Recording any communication with participants 
e) Preventing and detecting any activities that make use of this website for fraudulent or exploitative behaviour, or activities that allow third parties to provide technical support and backup work in the name of this website 
f) Providing the latest updates of RunOurCity’s events and sports events
g) In an anonymous basis, conducting statistical research on the website in relation to the visitor’s habits and the number of visitors, their interests and browsing behavior, which can help us understand visitors’ viewing and usage habits so as to improve our service levels 
h) Any other legitimate purposes as may be required, authorized or permitted by law. 

3.3   The personal data provided by participants may be disclosed to other organizations for the purposes mentioned above. 

3.4   We will never lease, exchange or sell any personally identifiable information that you have voluntarily supplied to us, including email address and telephone number.

Event Cancellation & Refund Policy 

4.1   The Organizer/Event Producer reserves the right to cancel or cut short the Event for the following reasons. Registration fee and charitable donation (if applicable) will not be refunded.

a) adverse weather conditions 
b) landslides, rock falls or hill fires along the course. 
c) protests or blockage along the course. 
d) Force majeure i.e. due to occurrence of incidents that are beyond the control of the Organizer/Event Producer and which renders it impossible, unsafe or impractical to hold the event. A force majeure event shall include, but is not limited to, act of God, war, hostilities, invasion, rebellion, revolution, insurrection, riot, commotion, strikes, go-slows, lock outs or disorder, outbreak of disease, acts or threats of terrorism.

4.2   No refund is allowed after registration is completed. Registration fee paid for duplicated entries will not be refunded and places cannot be transferred to another applicant or event. If a participant allows another party to attend on his or her behalf, both participant and the runner who run on behalf of the participant will be disqualified and might not allowed to participate in future events. 

4.3   The Organizer/Event Producer reserves the right to disqualify any person and / or nullify his or her result due to any violation the Official Rules of the Event. No refund will be accommodated in the case of disqualifications (applicable to events). 

4.4   The Organizer/Event Producer reserves the right of final decision of the website event. Any changes or contingent measures for the event announced by the Organizer/Event Producer and posted on the event’s shall prevail.
